How we collect, use, and protect your information.

FIN TAXES USA LLC ("FinTaxes," "we," "us," or "our") respects your privacy and is committed to protecting your personal information. This Privacy Policy explains what data we collect when you visit fintaxes.us or use our tax services, why we collect it, how we use and share it, and what rights you have. As a tax professional subject to IRS Publication 4557, we treat your tax information with heightened care.

1. Who we are

FIN TAXES USA LLC is a Michigan limited liability company providing US federal and state tax preparation, consultation, LLC and corporation formation, FBAR and FinCEN filings, ITIN and EIN services, and bookkeeping. Our principal place of business is located in Niles, Michigan, United States.

2. Information we collect

We collect the following categories of personal information:

Contact details you provide through our forms: name, email address, phone number, country of residence, and the content of your message.

Tax-related information you share during an engagement: Social Security Number or ITIN, date of birth, marital status, income and expense information, foreign bank account details, business financials, and copies of supporting documents. We only collect this after you hire us.

Technical data collected automatically when you visit the site: IP address, browser type and version, device type, operating system, pages visited, referring URL, and timestamps. We collect this via Google Analytics 4.

Communications: any message you send us through Telegram, Instagram, email, or our contact form, including attachments.

We do not knowingly collect information from anyone under 18. Our services are intended for adults only.

3. How we use your information

We use personal information for the following purposes:

To respond to inquiries, schedule consultations, and provide the services you request.

To prepare and file tax returns, FBAR forms, ITIN and EIN applications, LLC and corporation formation documents, and other filings you authorize.

To communicate with you about your engagement, including deadlines, IRS notices, and document requests.

To operate, secure, and improve our website and services, including anonymous analytics.

To comply with legal obligations under US federal tax law, IRS Circular 230, state law, anti-money-laundering regulations, and court orders.

4. Legal basis (for visitors in the EU / UK)

If you are located in the European Economic Area, United Kingdom, or Switzerland, we rely on the following lawful bases under the GDPR:

Contract: to provide tax services you have requested (GDPR Art. 6(1)(b)).

Legal obligation: to comply with US tax law, IRS rules, and anti-fraud requirements (GDPR Art. 6(1)(c)).

Consent: for analytics cookies and marketing communications, which you can withdraw at any time (GDPR Art. 6(1)(a)).

Legitimate interests: to secure our website, prevent fraud, and operate our business (GDPR Art. 6(1)(f)).

5. Cookies and tracking

Our website uses two categories of cookies and similar technologies:

Essential cookies: required for core functionality such as remembering your language preference. These cannot be disabled.

Analytics cookies: Google Analytics 4 (ID G-6X4S62Z1NS), used to measure anonymous traffic, popular pages, and language preferences. GA4 loads when the site opens; you can block it with browser settings or Google's opt-out add-on (tools.google.com/dlpage/gaoptout).

You can withdraw your consent at any time by clearing your browser storage or by using your browser's Do Not Track setting. We honor Global Privacy Control (GPC) signals.

6. Third parties we share data with

We do not sell your personal information. We share it only with service providers who help us operate, and only to the extent necessary:

Google LLC (Google Analytics) — anonymized traffic analytics.

Railway (our hosting provider) — website infrastructure and database hosting.

Secure document portals such as Dropbox, Google Drive, or our client portal — for tax document exchange during an engagement.

The Internal Revenue Service, state tax authorities, FinCEN, Secretaries of State, and other government agencies — only as required to file your returns and forms on your behalf, and only with your authorization.

We require all providers to keep your information confidential and use it only for the services they provide to us. We do not share data with advertisers or data brokers.

7. How long we keep your data

We retain tax engagement records for at least seven (7) years after the last filing, as required by IRS rules and our professional responsibilities. Website inquiry data is retained for up to 24 months unless you become a client.

After the retention period ends, we securely delete or anonymize your information.

8. Your rights

Depending on where you live, you have some or all of the following rights:

Right to access the personal information we hold about you.

Right to correct inaccurate or incomplete information.

Right to delete your information, subject to legal retention requirements for tax records.

Right to restrict or object to certain processing.

Right to data portability — to receive your data in a machine-readable format.

Right to withdraw consent at any time for processing based on consent.

To exercise any of these rights, email us at privacy@fintaxes.us. We will respond within 30 days. You also have the right to lodge a complaint with your local data protection authority.

9. California privacy rights (CCPA / CPRA)

If you are a California resident, the California Consumer Privacy Act gives you additional rights: the right to know what personal information we collect, the right to delete, the right to correct, the right to opt out of "sale" or "sharing" of personal information, and the right to non-discrimination for exercising your rights.

We do not sell personal information as defined by the CCPA. We do not share personal information for cross-context behavioral advertising. We do not use or disclose sensitive personal information for purposes other than those permitted by the CCPA.

To submit a CCPA request, email privacy@fintaxes.us with the subject line "California Privacy Request." We will verify your identity before responding.

10. International data transfers

We are based in the United States and our servers are located in the US. If you access our services from outside the US, your information will be transferred to and processed in the United States, which may have different data protection laws than your country of residence.

Where required by the GDPR, we rely on Standard Contractual Clauses or your explicit consent to legitimize these transfers.

11. Security

In accordance with IRS Publication 4557 (Safeguarding Taxpayer Data), the Gramm-Leach-Bliley Act, and the FTC Safeguards Rule, FIN TAXES USA LLC maintains a Written Information Security Plan (WISP) that includes:

Encryption of sensitive tax data in transit and at rest.

Multi-factor authentication for all internal accounts.

Access controls limiting data to authorized personnel only.

Regular security reviews, employee training, and incident response procedures.

No online transmission is 100% secure. While we use industry-standard safeguards, we cannot guarantee absolute security. If we become aware of a breach affecting your personal information, we will notify you as required by law.

12. Children's privacy

Our website and services are not directed to children under 18. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact privacy@fintaxes.us and we will delete it.

13. Changes to this Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in law, technology, or our business. The "Last updated" date at the top of this page shows when the policy was last revised.

For material changes, we will provide notice by posting the new policy on this page and, where required by law, by additional means such as email.
